URLs

There are two URLs: a test instance and a production instance.

 

The Test Instance is for testing, training, and familiarization. It is entirely separate from the production instance. No data changes or additions will be reflected in production data or in the public web site. Log on and perform any functions desired. The data is a copy of the production data, but might not be current and might not be fully accurate since users will be making random changes. Test data will be cleared from the tables periodically. Please use the test instance as needed to become familiar with the application. Use the Feedback form to submit questions, suggestions, or problems.

 

The Production Instance is for real business. All entries will be reviewed, validated, and committed to production by the Geographic Names Office. Submit issues using the Feedback form in the Production Instance. Both Feedback lists will be continuously reviewed and answered.

Log In and Passwords

The Single Sign On enforces required password security policies, complexity rules, and periodic expiration. It also provides the capability for users to manage passwords.

Enter User ID and Password. Click Yes on Security Alert redirect message.

If login fails three times, the account will be locked for 15 minutes. Contact systems administrator to unlock the account. If you are a new user, you will be provided a temporary password. You must change the temporary password as soon as possible. See instructions below.

Password Expiration: The password will expire automatically every ninety days. When logging on with an expired password, a form will appear requiring you to enter a new password.

Password Complexity: Passwords must contain a minimum of 8 characters including at least one upper case letter, one lower case letter, one number, and one special character.

Change Password: Change the password and edit your Oracle Internet Directory profile at any time as follows:

  1. Go to the following URL: https://rnsun620.er.usgs.gov:4443/oiddas/.
  2. Log in with the same User ID and password.
  3. Click the My Profile tab at top right.
  4. Click the Change My Password tab.
  5. Enter old password, new password, confirm the new password.
  6. You may set the Password Reset Hint, but it is not required.

Guidelines

  • Browser font: Set font size to smallest for the best look.

-         In Internet Explorer go to View, Text Size, Smallest.

  • Field Help: Roll cursor over field titles. If underline appears, click for field Help.
  • Form buttons: Use forms buttons to navigate most of the time.

-         Use browser b a sparingly.

  • Re-sort Lists: Click underlined column headings to re-sort the list by that column.

-         Click again to switch between ascending and descending sort order.

  • Required entry: Fields with * are required fields. Data must be entered.
  • Logout: Click Logout icon top right to close application.

-         Session information is retained in browser window if you log back in.

  • Close browser window: Click browser “x” at top right.

-         Session information is cleared.

  • Error Messages: Forms are good but not perfect (yet).

-         Complex logic with many conditions. You may encounter Oracle error messages.

-         Use browser b and try again

  • Stuck? Close browser window, open new window, log back in, query your feature.

-         Clears session information.

-         Does not lose saved data.

  • Feedback: Help improve and enhance the software.

-         Report software questions, suggestions, problems in Feedback Tab.

-         We will review, respond, fix. This is a dynamic upgrade process with new versions anytime.

-         Note: Report data issues in Remarks field, not Feedback.

Query Tab

Query for features with one or more of the following parameters:

  • Feature ID: Enter exact number.

-         Fastest query for single feature. Ignores all other fields.

  • Name: Enter key word or words or leading letters of word.

-         Assumes Boolean “and” search.

-         Note: Does not search imbedded letters or ends of words.

  • Class: Select from list.
  • State/County: Select State. County list appears. Select county if desired.

-         State list includes U.S. territories and associated areas.

  • Text Searches:
    Enter key words into any of the following text fields: Sec/Twp/Rng (Section/Township/Range), Cell Name, History, Description, Alaska History, Alaska Description.

-         Enter whole key words only.

-         Note: Does not search embedded letters or parts of words.

  • Cell (Map) Name: Query for features on a specified map.
    The cell name is almost always the same as the corresponding map name. Occasionally a cell name is changed and is not corrected on printed maps until the map is reprinted or revised.

-         Enter exact Cell Name. Click “Check Cell State.”

-         List of States containing cells with that name appears.

-         Select State containing desired cell.

-         Note: The same cell name may be used in more than one State.

  • Decision: Query for features with Board on Geographic Names decisions. Enter any combination of the following.

-         Select Decision Authority. See Decision Authority Values.

-         Select Decision Type. See Decision Type Values.

-         Select date or date range from Decision Date.

  • Reference: Query features with specified bibliographic reference codes. You must select all three of the following. See Enter Known Reference for additional information.

-         Select US or State alpha code from first list.

-         Select Reference Type (Interview, Map, Text, Web).

-         Select Reference Code.

-         Citation appears. Review and validate citation.

  • Reset: Click Reset button to clear the form (before executing the query).
  • Execute Query: Click Query button. The Query Results list appears.
  • Hints: Some query combinations are faster than others. It may be a trial and error process. Limit your results set to 100s or less. Larger queries will work (1000s of records) but may be slow and a long list is hard to review. The system is being tuned for increased performance.

-         20 Second guide: If it runs longer, kill it and try another.

-         Use Feedback Tab for questions or problems.

  • Return to Query: Click Query tab at top to return to the query form.

Query Results

Displays a list of the features meeting the query parameters and their primary attributes.

  • Re-sort: Click column head to re-sort list by that column.

-         Click again to switch between ascending and descending sort order.

  • Feature Status Column: values are:

-         (no value) = This feature is available to be edited.

-         Edited = This feature has been edited. If you edited the feature, you may edit it again until the feature is reviewed, validated and committed by the Geographic Names Office. If someone else edited the feature, you may view it only, not edit it.

-         New = This is a newly entered feature. If you entered the feature, you may edit it until the feature is reviewed, validated and committed by the Geographic Names Office. If someone else entered the feature, you may view it only, not edit it.

-         Reviewed = This feature has been edited and reviewed by Geographic Names Office. It is ready to commit to the production database.

  • Feature Detail: Click on the feature name to see the Detail Pages.
  • Return to Results: Click Results tab at top to return to this list.

Detail Pages

See second tab bar at top for the feature detail pages. Click on the tab to go to that page. Each page contains the following:

  • Feature Data (upper left): Feature ID, Name, Status. Status values are:

-         (no value) = This feature is available to be edited.

-         Edited = This feature has been edited. If you edited the feature, you may edit it again until the feature is reviewed, validated and committed by the Geographic Names Office. If someone else edited the feature, you may view it only, not edit it.

-         New = This is a newly entered feature. If you entered the feature, you may edit it until the feature is reviewed, validated and committed by the Geographic Names Office. If someone else entered the feature, you may view it only, not edit it.

  • Page Status (lower left): The status of each detail page. Values are:

-         Edited = One or more fields on that page have been edited or added.

-         New = One or more fields on that page have been entered for a new feature.

-         Reviewed = The page has been reviewed by Geographic Names Office and is ready to commit.

Edit Detail Tab

This tab contains the following fields:

  • Feature Class: A broadly defined descriptive category

-         All features are assigned to one and only one class.

-         See Edit Detail – Change Class.

The following are text fields with no content rules. Two minute rule: Enter whatever information you can in 2 minutes. See Edit Detail – Edit Text Fields.

  • Size: The size of a feature in descriptive text with whatever information is available.

-         When known, record distances in metric units with English units in parentheses.

  • History: Name origin, physical, and/or cultural history of a feature.
  • Description: Any information of interest. Amplifying or clarifying information, or unusual characteristics about the feature.
  • Sec/Twp/Rng: section, township, range, meridian (PLSS).
  • Map Addendum: Descriptive information appended to feature name on printed map, normally a parenthetical expression following the name. (Seldom used).

Edit Detail – Change Class

Change class

  1. Click list arrow to see values, select value.

-         Click Reset button for original value (before Save).

  1. Click Save button.

-         Class field shows red background indicating a change.

-         Page status changes to Edited (If this is the first edit).

Rollback (Reverse the change).

  1. Click Production Data triangle at bottom.
  2. View original setting.
  3. Click Rollback button.

-         All fields return to original entries or blank

-         Red disappears

-         Page status returns to (no value)

Note: This command rolls back all fields in the Detail page, not just the Class field.

Edit Detail – Edit Text Fields

  1. Enter or edit in text fields

-         Click Reset to return to original entries (before Save)

  1. Click Save

-         Changed fields show red background

-         Page status changes to Edited (If this is first edit)

  2. View original entries, if any

Edit Detail – Subdivision of

  1. If feature is a subdivision of an incorporated place, check the box Subdivision of
  2. Enter Feature ID of the incorporated place, if known

-         The designation Subdivision is automatically assigned. Click the Designations tab to verify.

Rollback (Reverse the changes)

  1. Click Production Data triangle at bottom
  2. View original entries, if any
  3. Click Rollback button

-         All fields return to original entries or blank

-         Red disappears

-         Page status returns to (no value)

History Examples

The following are examples of history entries:

Chronological history

  • Established in 1894
  • Destroyed by fire in 1954

Name origin

  • “Aconye” is derived from the Apache word “Akonye”, meaning “people of the canyon”.
  • Named after Chuar Butte (Chuaroovm Peak according to John Wesley Powell). The feature was named for a young Indian chief, 'Chuar' of the Kaibab band who was also called 'Frank' by the settlers (US-T121).
  • Named for the Comanche Indian Tribe which raided early settlements in the area.

When in doubt, enter whatever information you have in whatever form seems best to convey that information to the public. There are no set rules.

Names Tab

This page contains the following fields:

  • Name = Official name of the feature.
  • Variant = Name other than the official name
  • Reference Originator = Source of name or variant.

-         Values are “US” or a State alpha code.

  • Reference Type = Type of reference source.

-         Values are “Map,” “Text,” “Interview,” “Web.”

  • Reference Code = Numeric code assigned by Geographic Names Office.
  • Reference Detail = Additional details concerning the reference as related to the name, e.g., section or page
  • Status of record. Values are:

-         New = New name record.

-         Edited = Edited name record.

Change Name or Add Variant

  • To change the official name, click the Change button.

-        The Change Official Name page appears.

Or,

  • To add a variant name, click the Add button.

-        The Add Variant page appears.

  1. Enter exact name. See Names Rules for details.

-         Ensure correct word order, spelling, capitalization, diacritic marks, generics, articles.

-         Copy and paste diacritic marks from the character map. In Windows, go to Start, Programs, Accessories, Systems Tools, Character Map. (Versions may differ.)

Note: The font you choose in the character map does not matter, but Times New Roman or Courier New display the marks well.

  1. Variant Only. Select Name Type = In Part if the variant represents a feature that is historically only a part of the feature represented by the official name. See Names Rules for details.
  2. Select Reference Code.

-         See Enter Known Reference or Search Citation.

  1. Enter Reference Detail, if any.

-         Additional information concerning the feature in the reference, i.e., page number, section, plate.

  1. Click Reset button to clear the form (before Change or Add).

Decisions Tab (View only)

This page displays the U.S. Board on Geographic Names (BGN) decision concerning the feature name or application.

Note: The Geographic Names Offices manages decision information. Users may view decisions only.

Decision Authority Values

The following are the possible values for Decision Authority:

  • Administrative
    The authority is delegated by the U.S. Board on Geographic Names to the agency or organization administering the feature.
  • Board Decision
    A formal decision made by the U.S. Board on Geographic Names.
  • Board Policy
    The name or change is official in accordance with the policies of the U.S. Board on Geographic Names, implemented by the Geographic Names Office.
  • Congress
    The name or change is official by authority of an act or law of Congress.
  • Executive
    The name or change is official by authority of a Presidential Executive Order.

Decision Type Values

The following are the possible values for Decision Type:

  • Application
     A decision to change coordinates of primary, secondary, or source points.
  • Not Official
    A decision to declare a name not official – a name approved by a State that may be on State maps, but has no Federal recognition as official and shall not be used in Federal products. Not a variant. (Only 20 records exist.)
  • Official
    A decision to recognize the sole official name and its location for Federal usage.
  • Vacated
    A decision to remove official status of a name previously recognized as official. May be a variant. Seldom exercised. (Distinct from Not Official.)
  • Variant
    A decision to enter a variant. Types: 1) Historical name, 2) Name recognized locally, 3) Name recorded incorrectly on a map or other product, 4) Misspelling of official name. A feature may have multiple variants.

Counties/States Tab

This page contains the following fields:

Ÿ         County or counties containing the feature or part of the feature.

Ÿ         Seq = Sequence of multiple counties for features in more than one county.

-         The Primary County and State always contain the primary point (see Coordinates Tab) and are always sequence number 1.

-         Secondary Counties are other counties containing the feature.

-         See County Sequence Rules.

Ÿ         Status of record. Values are:

-         New = New county record.

-         Edited = Edited county record.

Add or Edit County/State

  • To add a county, click the Add button.

-         The Add County page appears.

  • To edit an existing county, click the icon in the proper row of the Edit column.

-         The Edit County page appears.

  1. Enter or change the sequence number.

-         The new or edited county inserts at the recorded sequence.

-         Higher numbers resequence to +1.

-         Any number > the highest number defaults to the highest +1.

-         See County Sequence Rules.

  1. Select the State or State equivalent.

-         Note: The State list includes U.S. territories and associated areas.

-         The list of counties for that State appears.

  1. Select the County or county equivalent.
  2. Click Reset button to clear the form (before Add).
  3. Click Add button to execute.

-         Display returns to Counties/States page.

-         New county displays in correct sequence with status = New.

-         Page status changes to Edited (If this is first edit).

Coordinates Tab

This page contains the following fields:

Ÿ         Latitude and Longitude of points in or on the feature.

Ÿ         Seq = Sequence of multiple points for features in more than one USGS standard topographic map (cell).

-         The Primary Point is always sequence number 1 and determines the primary county and State.

-         Secondary Points are points in or on the feature and in maps (cells) other than the one containing the primary point, one per map.

-         See Coordinates Sequence Rules.

Ÿ         Cell = The name of the standard USGS cell (Map) containing the point.

Ÿ         Status of record. Values are:

-         New = New point record.

-         Edited = Edited point record.

Ÿ         Click View Decimal Degrees or View Deg/Min/Sec to change the display between decimal degrees and degrees/minutes/seconds.

-         Add and Edit forms will use the selected format.

Add or Edit Coordinates

  • To add coordinates, click the Add button.

-         The Add Coordinates page appears.

Or,

  • To edit existing coordinates, click the icon in the proper row of the Edit column.

-         The Edit Coordinates page appears.

  1. Enter or change the sequence number.

-         The new or edited coordinates insert at the recorded sequence.

-         Higher numbers resequence to +1.

-         Any number > the highest number defaults to the highest +1.

-         See Coordinates Sequence Rules.

  1. Enter or edit Latitude.

-         DMS format: DDMMSS(N or S), e.g., 382958N

-         DEC format: nn.nnnnnnn, e.g., 38.4827865
(no sign) = north, minus sign = south

  1. Enter or edit Longitude.

-         DMS format: DDDMMSS(E or W), e.g., 0780358W

-         DEC format: nnn.nnnnnnn, e.g., -078.0661354
(no sign) = east, minus sign = west

  1. Click Verify Cell Name.

-         List appears with the names of cells containing the coordinates. Standard cells are 7.5° x 7.5° except Alaska where they are 15° x 15°

-         If list contains more than one cell name, select correct one. List appears with States containing that cell.

-         If list contains more than one State name, select correct State.

-         If no cell name is correct, revise coordinates and verify again.

  1. Click Measured (default) or Approximate.

-         Measured = You can confidently determine from the data source (map, image, GPS, etc.) that the coordinates are within 2 seconds of the actual position.

-         Approximate = The above criterion does not apply.

-         Geocoded coordinates are considered approximate.

  1. Click Reset button to clear the form (before Add).
  2. Click Add button to execute.

-         Display returns to Coordinates page.

-         New coordinates display in correct sequence with status = New.

-         Page status changes to Edited (If this is first edit).

Or,

  1. Click Cancel button.

-         Display returns to Coordinates page with no change.

Designations Tab

Designations are attributes assigned to the feature. They could be almost anything not otherwise defined in the data. A feature may have more than one designation and a designation may be assigned to more than one feature.

 

Examples: State Capitol, County Seat, Concise, Administered Federal, Historical, Known Source.

 

Designations are defined, added, edited, and deleted by the Geographic Names Office. You may assign designations to features as appropriate, meaning that the designation applies to the feature, or you may detach such designations from features if the designation no longer applies or was mistakenly applied in the first place.

 

This page contains the following fields:

Ÿ         Designation = The title of designation

Ÿ         Description = A textual description of designation.

Ÿ         Status of record. Values are:

-         (No value) means the designation is currently assigned to the feature.

-         New means the designation has been newly assigned, but not validated and committed by the Geographic Names Office

-         Detached means the designation has been declared no longer applicable, but has not been validated and committed by the Geographic Names Office.

Assign Designation

To assign a designation to a feature:

  1. Click the Assign button.

-         The Assign Designation page appears.

  1. Click list arrow to see designation values. Select a value.

-         The designation description appears. Validate the description.

-         The Assign button appears.

  1. Click the Assign button.

-         The display returns to Designations page.

-         The value New appears in the Status column.

Or,

Detach/Reattach Designation

This function detaches an assigned designation or reattaches a designation that has been detached.

  1. Click the icon in Detach column.
  2. Click Detach to unassign a designation from the feature.

-         Display returns to Designations page.

-         Value Detached appears in Status column.

-         Or, if the Record Status was New, the record disappears.

  1. Click Reattach to reassign detached designation (Record Status is Detached).

-         The display returns to Designations page.

-         Record Status reverts (no value).

Or,

  1. Click Cancel.

-         The display returns to Designations page with no change.

Enter Feature Name*

Enter the exact official name approved by appropriate authority.

  • Ensure correct word order, spelling, capitalization, diacritic marks, generics, articles.
  • Copy and paste diacritic marks from the browser character map.

-         In Windows, go to Start, Programs, Accessories, Systems Tools, Character Map (Other browsers or versions may differ).

-         Font does not matter. The field defaults to the font in the application.

-         (However, Times New Roman and Courier New display the marks well in the character map).

Designate Historical Feature

A historic feature is one that no longer exists. Features are never deleted. They just become historic.

  1. Add “(historic)” after name in the Name field.
  2. Click Historic check box.

-         The designation Historic is automatically assigned. See Designations tab.

  1. A History box appears.

-         Same as History field in Edit Detail tab.

-         Enter additional information concerning the disposition. Examples:

-         “Abandoned” – such as schools or churches

-         “Destroyed by fire”

-         “Inundated by Lake Mead

-         Other terms or phrases may be used

Click the list arrows, select values.

  • State list includes U.S. territories and associated areas.
  1. Select the State or State equivalent containing the primary coordinates.

-         Counties for that State appear in county list.

  1. Select the county or county equivalent containing the primary coordinates.

Enter Coordinates

  • Enter Primary Coordinates.* See Primary Coordinates Rules.
  • Source Coordinates fields appear when Class = Stream, Valley, or Arroyo.

-         If Source Coordinates are unknown, click Unknown Source

-         Source Coordinates fields disappear.

-         Feature is assigned a designation of “Unknown Source.” See Designations tab.

  • Click DMS to enter degrees, minutes, seconds (default).
  • Click DEC to enter decimal degrees to seven places.
  • All coordinates in NAD83.
  1. Enter Latitude in the following formats:

-         DMS format: DDMMSS(N or S). Example: 382958N

·       Numbers plus N or S only.

·       No spaces, special characters, or punctuation.

-         DEC format: nn.nnnnnnn. Example: -38.4827865

·       Numbers only.

·       No spaces, special characters, or punctuation other than minus sign and decimal point.

·       Carry to seven decimal places. (Following zeros are not necessary.)

·       (no sign) = north, minus sign = south.

  1. Enter Longitude in the following formats:

-         DMS format: DDDMMSS(E or W), e.g., 0780358W

·       Numbers plus N or S only.

·       No spaces, special characters, or punctuation.

-         DEC format: nnn.nnnnnnn, e.g., -078.0661354

·       Numbers only.

·       No spaces, special characters, or punctuation other than minus sign and decimal point.

Unknown Coordinates

Use only as a last resort if Primary Coordinates are unknown (usually applied to features classified as historical).

  1. Click Unknown Coordinates.

-         Cell State and Cell lists appear.

  1. Select Cell State – State containing primary point.

-         List of names for standard cells in that State appear.

  1. Select cell name, if known.

Note: If coordinates are determined later, return to this feature and enter them.

Verify Cell Name

Make sure the coordinates are on the correct cell (map).

Ÿ         After coordinates entered, click Verify Cell Name?

-         List appears with names of cells containing the coordinates.

-         Standard cells are 7.5° x 7.5°.

-         Except Alaska where they are 15° x 15°.

Ÿ         Verify cell name against the source map.

-         If list contains more than one cell name, select the correct one.

-         If cell name(s) are not correct, revise coordinates and verify again.

Select Feature Class*

Click list arrow to see values, select value (63 classes).

  • If you select a linear feature (Class = Arroyo, Stream, Valley),

-         Source Lat/Long fields appear. See Enter Coordinates.)

  • If you select Populated Place, Subdivision of appears.

-         If the feature is a subdivision of an incorporated place, Click Subdivision of.

-         Enter the Feature ID of the incorporated place of which the feature is a subdivision, if known.

  • If you select Park, Administered By appears.

-         Select an administering authority or Unknown.

Enter Known Reference*

If the reference code is known: (If not, see Search Citation.)

  1. Select US or a State alpha code (Default = US).
  2. Select Type.

-         List shows types only for the above selection.

-         Possible values: Interview, Map, Text, Web.

-         List shows values only for the selections above.

-         Citation appears.

  1. Verify citation – The full title of the reference.

Search Citation*

If the reference code is not known: (see Enter Known Reference.)

  1. Click Search Citation round button.
  2. Enter key word or words or leading letters of words.

-         The search assumes a Boolean “and” condition.

-         Note: Does not search imbedded letters or ends of words.

  1. Click Search Citation check box.

-         Returns all codes containing key words in citation.

  1. Select US or State alpha code.
  2. Select Type – (Interview, Map, Text, or Web).
  3. Select Code.
  4. Citation appears. Verify citation.

Enter Remarks

Remarks:

  • Are questions and information concerning feature data.
  • Are exchanged with Geographic Names Office during data submission and review.
  • Are NOT DATA

-         Will be deleted when the new or edited record is committed to production.

  1. Enter date, your name and then type remarks.
  2. Click Save.
  • Geographic Names Office will review and respond as needed.
  • Example: You believe the feature name should be changed, but it has a Board decision. Please explain.

Note: Use Feedback form, not Remarks, for questions, suggestions, and problems concerning the system and the software.

Submit New Record

For a simple feature (All data can be entered on this page).

  1. Click Submit button.

-         Form clears except for key fields.

-         You do not have to retype repeating fields in a group of features.

  1.  Enter another feature and continue.

Complex feature – Requires additional detail, variants, multiple counties, multiple States, designations.

  1. Click Submit and Enter Detail button.

-         Detail pages appear same as in edit mode.

  1. Enter Detail. See Detail Pages.
  • Click New List to see new records entered during this session only.

-         Same format as Query Results.

  • Click Enter New tab to return to the entry form.

Review and Validation

The Geographic Names Office will:

  1. Review and validate new and edited records.

-         The page and record status changes to Reviewed.

-         See Record Status tab for status of review and remarks.

  1. Coordinate with you on questions or issues using:

-         The Remarks section of Record Status page.

-         Email, phone, etc.

  1. Commit the records to production.

-         New and edited features will appear at GNIS web site and in The National Map.

-         All Edit and New flags are cleared.

Feedback Tab

Please use the feedback forms to submit questions, suggestions, problems concerning the operation and functions of these forms. Do not use the Feedback form for submitting data questions. Data issues should be recorded in the Remarks field of the Record Status page. See Enter Remarks.

 

Any user may enter items, and any user may respond to existing items with new information or questions. The Geographic Names Office will reply to all items and track them to resolution. A new item has a status of Open. An item considered resolved will be assigned a status of Soft Close. The user originating the item should verify the resolution and then assign a status of Closed. Closed items will be deleted from the list periodically.

 

Post New item:

  1. Type in short, descriptive Subject starting with the name of the forms page concerned.
  2. Type in Detail – be specific. Include as applicable steps taken that led to the condition being reported, data entered, results seen, results expected or desired, error messages.
  3. Click Post.
  4. Systems personnel will review and respond.

 

Search Items:

  1. Select user, Date Range, and/or enter Subject.

-         If you enter no selections, the search will return all items.

  1. Click Search.
  2. View items in Search Result.

 

Search Result tab displays:

  • Author = Originator of the item
  • Subject = Subject of the item
  • Last Post By = Author of the last reply
  • Post Date = Date of the last reply
  • Status = Open, Soft Close, or Closed.

 

View Item Detail:

  1. Click icon under Details to view and reply.

-         View item and all replies in descending date order.

 

Reply to Item:

  1. Click Reply.
  2. Enter Details.
  3. Click Post Reply.

Rules

Feature ID Rules

The Feature ID:

  • Is a number of up to ten digits.

-         Assigned automatically when a new feature is entered.

-         Contains no information.

  • Is the single unique feature identifier.

-         Assigned to one and only one feature.

-         Permanent.

  • Is used throughout the Federal government, State, local, commercial sources for feature data.
  • Will become an ANSI standard.
  • Is displayed in the Feature box in the upper left of each detail page.

Note: A few features have two or more records with different IDs.

-         Primarily linear features that cross State and county boundaries.

-         They are old data and are being corrected as time permits.

-         If seen, report the Feature IDs to Geographic Names Office.

Names Rules

  • One feature – One official name. No exceptions.
  • Defined by function – not composition, size, or location. Example:

-         Fisher Church and Fisher School – two features in same building with identical coordinates but different functions are two different features.

  • Several names for the same feature?

-         Determine one official name.

-         All others are variants.

  • A variant is any name other than the unofficial name. Examples:

-         Historical name that is no longer official.

-         Name less used than the official name but recognized locally.

-         Name incorrectly recorded on a map or in a document.

-         Misspelling of an official name.

Note: An abbreviation of the official name is NOT to be recorded as a variant.

  • The following parenthetical expressions only are allowed following the name.

-         “(Historical)” – See Designate Historical Feature.

-          “(Not Official)” – Geographic Names Office use only. Only 20 records to date.

  • Natural Features, Reservoirs, Canals

-         New name or name change usually requires Board on Geographic Names decision.

-         See /

-         Note: Feature names with a Board decision cannot be changed. See Decisions tab.

  • Abbreviations: Spell them out.

-         Except abbreviated features specified in law.

  • Generics: Almost all features should include a generic. Examples:

-         Mount Saint Helens

-         J C Thomas School

-         Coleville Mountain

-         Lake Mead

  • Generics Exception: Populated Places might not include a generic term. Examples:

-         Chicago

-         Mount Pleasant (The word “Mount” is part of the name, not a generic in this case.)

  • Reverse Generics for Natural Features: Move generic from front to end preceded by a comma and a space. Examples:

-         Mount Saint Helens” a “Saint Helens, Mount”.

-         “Canada de las Latas” a “Latas, Canada de las” (diacritic??)

-         “Lake Mead” = “Lake Mead” (man-made feature)

  • Articles: Move to end preceded by a comma and a space.

-         “The Thoroughfare” a  “Thoroughfare, The”

-         El Capitan” a  “Capitan, El”

  • Definite articles usually are lower case if not the first word in the name.

-         Examples: with, for, the, our, …

-         Woods, Lake of the; Hole-in-the-Wall

  • Apostrophes

-         Use only for administrative (not natural) features.

-         Remove genitive or possessive apostrophes from names of natural features.

County Sequence Rules

Ÿ         Sequence the counties 1 through n for each county into which the feature extends or through which it passes.

Ÿ         County sequence number 1 is always the primary county and contains the primary coordinates.

Ÿ         Point features (features with a single set of coordinates at 1/24,000 scale) have only one county.

Ÿ         Sequence counties for linear features (streams, valleys, arroyos) from mouth to source.

-         Each county is entered only once even if the feature enters, exits, and reenters the county.

Ÿ         Ensure complete coverage of areal features in more than one county (parks, national forests, populated places, etc.).

Ÿ         Sequence counties for areal features generally from the primary county outward in the most convenient sequence. There are no set rules.

Ÿ         Counties other than the primary county are secondary counties.

  • Are also referred to as the primary point, the feature location, or the feature application.
  • Are always the first set of coordinates.
  • Are always sequence number 1.
  • Determine the primary State and county.
  • Are located as shown in the following table:

Source coordinates:

  • May be in the same map as the primary coordinates.
  • Are never in same map as other secondary coordinates.
  • Are always the last set of coordinates.
  • Are always the highest sequence number.
